    Assist and Support Relationship Management/Business Development Officers and Chief Fiduciary Officer in the daily performance of duties and servicing of client accounts.

    Duties & Responsibilities

    • Prepares account opening documents for new accounts
    • Tracks business development efforts for BDO’s through CRM and weekly pipeline reports
    • Maintains CRM Database for BDO’s updating as necessary including activity reports
    • Maintains tickler system to ensure client meetings are routinely scheduled
    • Coordinates preparation and distribution of monthly Trust Administrative, Trust Investment, and Management Committee materials
    • Communicates clearly and effectively with clients on a daily basis. Responds to their requests and works with them to resolve issues and meet their needs.
    • Assists in tracking via spreadsheet a variety of client service related functions, such as Investment Reviews, Financial Planning, and client specific updates or requests. 
    • Serves as client liaison in coordinating successful completion of specified tasks and projects.
    • Assists in client servicing activities relating to scheduling, preparing and/or coordinating reports for meetings, maintenance of small conference room on 14th floor.  Available to provide administrative support during client meetings when requested
    • Coordinates delivery and mailing of client information as needed including statements, tax reporting, and tax returns
    • Maintains and updates the data base that tracks the status of various tax forms and tax folders with required internal forms
    • Assist with any compliance-related projects which require creating reports from various systems
    • Schedules meetings, coordinating schedules with clients and other CCT professionals (PM’s Planners, etc.) as needed for meetings and confirms meetings 24 hours in advance
    • Arranges travel, as needed, for prospect and client meetings
    • Orders, prepares and maintains marketing materials for BDO’s
    • Prepares monthly analytical reports, materials for client meetings and other maintenance reports for clients as needed
    • Provides effective, confidential administrative support including:
      1. Answering telephones
      2. Preparing and maintaining client files
      3. Preparing and submitting expense reports
      4. Preparing correspondence for prospects and clients
    • Uploads and organizes documents, journal entries, correspondence and data in client files and CRM.

    Qualifications & Skills

    Experience: 5+ years of prior financial administrative services work experience is preferred. Experience working with high net worth individuals is a plus.   


    Education/Licenses/Certifications:  Undergraduate degree is preferred. Strong communication and writing skills are a must. Proficiency in Excel, database research (Wealth Engine, Linked-In, Bloomberg, etc.) are essential. Knowledge of Factset or Morningstar would be helpful.
